Job Title:                           HR Administrator (Reporting to the UK Managing Director)

Division:                            FTV Proclad International Limited

Hours of Work:                 Full-time - 37 hour week  (Temporary Contract)

We have an exciting opportunity for an efficient HR Administrator to undertake a variety of HR administrative duties. 

 

The ideal candidate will have excellent administrative skills.  He/she will be able to work autonomously and efficiently, providing support to the UK Managing Director and wider management team. To succeed in this role, you need to be resilient, professional and organised. 

 

Communication is key in this role as the right person needs to be able to communicate with all levels within the business professionally and assertively.  The role demands accuracy, diligence, resilience and would suit a self-motivated individual.  The role involves a high volume of admin work and would suit someone looking at starting a career in the HR field. 

 

Responsibilities:

  • Respond to internal and external HR related inquiries or requests and provide assistance.
  • Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database and ensure all employment requirements are met, ensuring complete accuracy and confidentiality.
  • Assisting with and coordinating the recruitment of apprentices and keep up to date records of their progress including reviews.  Liaise with the training provider to arrange inductions and create purchase orders as required.
  • Liaise with other departments or functions (payroll, benefits etc.).
  • Support the recruitment/hiring process including creating job descriptions, advertising, sourcing candidates, performing background checks, assisting in shortlisting, issuing offer letters and employment contracts etc.
  • Schedule meetings, interviews, HR events etc. and maintain the team’s agenda.
  • Coordinate training sessions and meetings.
  • Perform orientations, on-boarding and update records with new starts.
  • Produce and submit reports on general HR activity.
  • Assist in ad-hoc HR projects.
  • Support other functions as assigned.
  • Keeping up to date with current legislation.
  • Ensuring GDPR compliance when handling personal data.
  • Ongoing development within the department.
  • Administration duties, such as note taking, distribution of operation minutes and filing.

 

Requirements

  • Proven experience as an HR Administrator or relevant administrative position.
  • Knowledge of human resources processes and best practices.
  • Strong ability in using MS Office (MS Excel and Visio used for org charts).
  • Experience with HR databases and HRIS systems.
  • Familiarity with social media recruiting.
  • Outstanding communication and interpersonal skills.
  • Ability to handle data with confidentiality.
  • Good organisational and time management skills.
  • Some travel will be required to other sites within the Group therefore, a driving license is essential.

 

Flexibility

 

To delivery services effectively, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above.
